Cancellation Policy

Community | Charity | School Event Booking Policy Applies to all community group bookings, charity events, school discos, and non-commercial functions held at Club Palm Beach Ltd. ✅ Supervision & Responsibility A responsible adult (preferably aged 25+) must be present for the entirety of the event. This person is accountable for ensuring safety, guest behaviour, and adherence to venue rules. For school or youth group bookings, at least one supervising adult per 20 attendees is required. 🍽️ Food & Drink You are welcome to bring your own food, including buffets, snacks, sweets, and treats. You may also order food deliveries such as pizza or platters. No kitchen facilities are available on-site — all food must be pre-prepared or ready to serve. Drinks: You must provide your own drinks for children (e.g. squash, juice boxes). Jugs and tap water can be provided at the bar. Alternatively, jugs of squash or fizzy drinks can be purchased from the bar. A licensed bar will be open. 🚫 Prohibited Items To maintain a safe and clean venue, the following items are not allowed: Table confetti or sprinkles Confetti balloons Party cannons or poppers Stickers or adhesive decorations Glitter or silly string 📋 Booking Confirmation Bookings are only confirmed once a completed booking form and non-refundable deposit (as outlined on your invoice) are received. Deposits are deducted from the total hire fee. Invoices are sent within 24 hours of form submission. Reservations are held for 14 days. If the deposit is not paid within this period, the date will be released. ❌ Cancellations Cancellations must be made in writing. All deposits and hire fees are non-refundable. Refunds are not issued for cancellations due to low turnout, illness, or unforeseen changes. Events cancelled within 21 days of the event date will still be charged the full balance. ⏱️ Access & Timings Complimentary access is granted 20 minutes before the start time (subject to availability). This setup time is not guaranteed. We will notify you in advance if your access window is shorter due to back-to-back bookings. Guests and organisers must vacate the venue within 20 minutes after the event ends. Please see full Terms and Conditions for further terms
